Calendars are essential tools in any recreation department. Regardless of your community, you likely have some version of a calendar to inform residents about upcoming programs. This tool not only keeps residents engaged and informed but also the rest of the team! Your calendar needs to be clear, concise, and readable, in a format that suits your unique residents. However, choosing the right format can be challenging.
To help you make an informed decision, let's explore the pros and cons of three popular calendar formats: monthly, weekly, and daily.
Overview: Provides a comprehensive view of events, activities, and important dates for the entire month at a glance.
Long-term Planning: Helps residents and staff plan and anticipate upcoming events and activities.
Simplified Communication: This makes it easy to communicate the month's schedule to residents, family members, and staff.
Space for Notes: Typically includes space for messages or reminders, allowing residents to jot down important information.
Visual Appeal: Can be designed with visually appealing layouts and graphics to enhance readability and engagement.
Lack of Detail: May not provide detailed information about individual events outside of formatting by colors, symbols, etc.
Space Constraints: This may become cluttered or overwhelming if there are many events scheduled for the month.
Detailed Overview: Provides a more detailed view of events, activities, and appointments for the entire week.
Enhanced Communication: Allows for more detailed communication about individual events, including times, locations, descriptions, and special instructions.
Larger font size and space: More space allows for larger fonts for residents who may have visual impairments and allows for more images, text, and messages.
Limited Long-term Planning: This does not offer a long-term view of events beyond the current week.
Increased Printing Frequency: Requires more frequent printing and distribution compared to monthly calendars.
Detailed Information: Provides detailed information about individual events scheduled for each day.
Real-time Updates: Allows for real-time updates and changes to be communicated to residents, such as a last-minute program cancellation.
Larger font size and space: More space allows for larger fonts for residents who may have visual impairments and allows for more images, text, and messages.
Limited Long-term Planning: This does not provide a long-term view of events beyond the current day.
Increased Printing Frequency: Requires daily printing and distribution, adding another task to each day.
Each calendar format has its pros and cons, and the choice depends on the preferences and needs of your community and its residents. Consider offering a combination of monthly, weekly, and daily calendars to cater to different communication styles and preferences.
